Our new online registration system is working well, though we are still tuning and fixing things. 

Please register as soon as possible so that you can get the best possible rate! 

The online trading post system is now working as well! Please see the information below and be sure to order your items before March 30.

Our experience to date has helped us compile this list of potential problems on the user end that can interfere with a successful registration or trading post ordering process. Please check this list before proceeding.

Registration is now open.Online registration payment is available, as well as the option to pay at your Council office.
The online Trading Post is also available, with online payments accepted, as well as the option to select items and then send in your order by mail (postmarked no later than March 30) for payment.
 
After you register, you can select the Trading Post Pre-order link that will then be made available (or can later be found in a link under the "General" tab for your account summary page) to place a Trading Post order. A single-transaction option for online registration and Trading Post order payment at the same time should be available shortly.

Conclave 2012 Registration Information and Deadlines:

  • Registration site live: Feb. 13

  • Early Bird ($35): February 13 - March. 2

  • Regular ($45): March 3 - 30 (March 30 is also last date for Trading Post preorder items)

  • Late ($60): March 31 - April 13

  • On-site late rates apply ($75): April 14 through the event
Note: All adults attending must be registered adult leaders with current youth protection training on file. BSA ID numbers will be collected during the registration process and provided to the lodges as an aid to allowing them to check their records. To check your BSA ID number and update your training status, please go to MyScouting.org. No adult will be allowed on site without current youth protection training on file. All attendees, whether youth or adults, must be approved by their lodge advisers to attend Conclave.

Trading post preorder items are only available to attendees who pre-register according to the schedule above.
Registering for Conclave is very simple and it all begins on our registration web site.  Just create an account, fill out the online form, and mail or bring to your payment for conclave attendance to your council. You can also pay your registration online with a credit card.  The site will also offer you opportunities to sign up for events and competitions online.  If you have any questions about the registration process for your lodge beyond those answered in the user guide below, contact the Registration Team. 

Trading post pre-orders can also be placed after you have registered and can also be paid for online, but in a separate transaction from registration.  (Combined ordering is being worked on and will hopefully become available soon). Please note that payment for trading post pre-orders must be sent by you by mail directly to the trading post team immediately after entering your order if you choose not to pay online. Information is displayed on your registration summary page showing exactly where to send each portion of the payment. 

Pre-orders for the Trading Post close March 30, 2012, and all payments must be received online or postmarked by that date if sent by mail. Only items pre-ordered during online registration are guaranteed. There will only be limited quantities available for sale on site at Conclave. 

The online registration site is set up to handle applications by OA members from councils listed in the Lodges section on this site. Note: attendance by members from other lodges is welcome, but must be approved in advance by their appropriate lodge and section leaders. To express an interest in attending if you are a member of a lodge in another section, please send an e-mail to conclaveguests@sr2-3n.org. 

We encourage online registration wherever possible. Please note, however, that those under 13 years of age MUST either fill out a traditional paper registration form and turn it in to their local council office, or have a parent complete the online registration on their behalf. The paper form can be downloaded below. 

All participants must supply a copy of the 2011 version of the BSA annual health and medical form with parts A and B completed (the parts covering basic information and release agreements), which in turn requires a copy of both sides of a current insurance card. (If you do not have health insurance, check that box on the form.) These should be turned in to your Council along with your payment. All adult attendees must be registered BSA adult leaders and must have current youth protection training; no adult will be allowed on site without an up-to-date YPT record on file.
